Haven is a division of Stone Owl Family Office Inc. Insurance is offered through Stone Owl Financial. In this policy, “Haven”, “we” and “us” mean both. We take your privacy seriously and handle personal information in line with Canadian privacy law, including British Columbia's Personal Information Protection Act and, where it applies, the federal Personal Information Protection and Electronic Documents Act.
What we collect
From you, or from your mortgage broker with your consent: your name, email address, phone number, date of birth, gender, province of residence, mortgage amount and amortization, and the same details for a co-borrower if there is one. If you ask us to call you, we also keep your phone number and preferred call times.
When you use your quote page: whether and when the page was viewed and whether you chose to book a call. If you apply for insurance, your advisor will collect what the insurer needs, such as health and lifestyle information.
From mortgage brokers who partner with us: name, work email, brokerage, and records of the clients they refer.
When you visit our website: basic technical information such as your browser, device and pages visited. We may use cookies and similar tools to keep the site secure, remember your sign-in, and understand how the site is used.
How we use it
- To prepare your personal insurance quote and send it to you.
- To contact you about your quote, answer your questions and, if you choose, help you apply with an insurer.
- To review your coverage with you over time, if you become a client.
- To run our partner program, including letting the broker who referred you know how your referral is progressing.
- To keep our services secure, prevent fraud, and meet our legal and regulatory obligations as a licensed insurance agency.
- To improve our website and services.
We only use your information for these purposes, or for others we tell you about and you agree to.
Consent
We collect your information with your consent, given either directly to us or to the mortgage broker who referred you. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits. If you do, we may not be able to provide a quote or advice.
Who we share it with
We never sell your personal information. We share it only as needed:
- Insurers, when you ask us to compare options or apply for coverage.
- The mortgage broker who referred you, limited to the progress of your referral, such as whether you were contacted or a policy was placed. We don't share your health information with brokers.
- Service providers who help us run Haven, such as website hosting, secure database storage, email delivery, our client relationship and scheduling tools, and website analytics. They may only use your information to provide services to us and must protect it.
- Regulators, auditors or authorities, when the law requires it.
Where it is stored
Your information is stored in Canada where possible. Some of our service providers are located in, or process information in, the United States or other countries, so your information may be subject to the laws of those places, including lawful access by their authorities.
How long we keep it
We keep personal information only as long as we need it for the purposes above, or as long as the law or insurance regulations require. When we no longer need it, we securely delete or anonymize it.
How we protect it
We use safeguards suited to the sensitivity of the information, including encryption in transit, restricted access for staff and partners, and secure, private links for your quote. No method of transmission or storage is completely secure, but we work to protect your information and review our practices regularly.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent. You can also ask us to stop contacting you at any time. We'll respond within the time the law allows. If you're not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
